Managing hardware across a university campus is not often as straightforward as buying a new batch of laptops or replacing a computer lab every few years.
For higher education IT teams, hundreds or thousands of devices can mean an ongoing cycle of purchasing, configuring, updating, repairing, tracking and eventually replacing equipment. And when budgets are under pressure, that cycle becomes increasingly difficult to sustain.
But there is another question worth asking: does every device really need to be replaced, or could smarter software delivery make existing hardware useful for longer?
That's where a more strategic approach to campus hardware management can make a significant difference.
The purchase price of a device is only one part of its cost.
Every computer needs to be inventoried, configured, secured, maintained and eventually retired. IT teams also need to manage warranties, repairs, operating system updates, software installations and user support.
Stanford University provides a useful illustration of just how much resource this can consume. A university-wide survey found that managing the hardware lifecycle for 39,000 people represented a workload equivalent to around 102 full-time employees. The calculation covered activities including ordering, inventory tracking, refresh planning and hardware disposal, and did not include work carried out by Stanford's central IT team.
For institutions operating thousands of endpoints, IT asset management is therefore much more than keeping a spreadsheet of serial numbers - it's a continuous operational commitment. And the more devices an institution manages, the more important it becomes to understand which ones are actually delivering value.
That makes effective hardware lifecycle management particularly important. If devices are replaced simply on the basis that they have reached an arbitrary age, institutions can end up spending money on hardware that still has useful capacity.
One of the biggest challenges with campus hardware management is that hardware decisions cannot be made in isolation from software requirements.
A device might still have plenty of processing power and storage, but become difficult to use because it cannot run a particular application, operating system or specialist piece of academic software.
Windows 11 is a straightforward example. Microsoft's requirements include a compatible processor, at least 4GB of RAM, 64GB of storage, Secure Boot capability and TPM 2.0.
Software requirements can therefore create pressure for hardware refreshes, even when the physical device itself is still functional.
For university IT teams, the question becomes: how can we deliver the software students and staff need without making every device responsible for running everything locally?

3. What software does each user actually need?
Avoid treating every device as though it needs the same application set.
4. Can software be delivered differently?
Consider centralised software delivery, application streaming, virtualization or cloud-based access where appropriate.
5. When does hardware genuinely need replacing?
Use actual requirements and utilisation alongside age and condition when planning refreshes.
This approach makes campus hardware management less about reacting to replacement cycles and more about managing the entire technology environment strategically.
Hardware utilisation and software delivery are closely connected. Knowing which devices are being used, where demand is highest and which applications students actually need gives IT teams a stronger basis for deciding where investment is necessary, and where it may not be.
